1. Introduction

The Ezinne Cecilia Aji Memorial Foundation ("ECAMF," "we," "us," or "our") operates the ECAMF mobile application (the "App"), which allows beneficiaries to apply for educational scholarships and skill acquisition support, submit academic results, and allows authorised staff to manage applications, content, and beneficiary records.

This Privacy Policy explains what information we collect through the App, how we use and protect it, and the choices you have. By creating an account or otherwise using the App, you agree to the practices described in this policy.

2. Information We Collect

a) Account Information

When you register for a beneficiary or admin account, we collect:

• Full name (first and last name)
• Email address
• Phone number
• Password (stored securely and never visible to us — see Section 4)

b) Application Information

If you submit a scholarship or skill acquisition application, we collect:

• Date of birth and gender
• Home village/street address
• Parent/guardian names, phone numbers, and occupations
• Educational details (current class/level, courses or skills of interest)
• Family and financial background information you choose to share, used solely to assess need and eligibility
• Your personal statement and how you heard about ECAMF

c) Academic Results & Uploaded Files

Approved beneficiaries may submit termly academic results, including school name, class, scores, position in class, comments, and an optional uploaded file (PDF, JPG, or PNG, maximum 5 MB) as proof of results.

d) Content We Publish

Gallery photos, blog posts, and trustee profiles are added by ECAMF administrators for public viewing within the App and are not personal information collected from beneficiaries.

e) Automatically Collected Information

Our infrastructure provider (Firebase/Google Cloud, see Section 9) automatically processes limited technical data necessary to operate the App, such as authentication tokens and basic diagnostic/crash data. We do not use this data for advertising or behavioural tracking.

3. How We Use Your Information

We use the information described above to:

• Create and manage your account
• Review, process, and communicate with you about your application
• Track submitted academic results for approved beneficiaries
• Verify identity and prevent unauthorised access to accounts
• Respond to enquiries sent through the App's contact form
• Maintain the security, integrity, and proper functioning of the App
• Comply with legal obligations where applicable

We do not sell your personal information, and we do not use your data for third-party advertising.

4. Data Storage & Security

The App is built on Google Firebase, and your data is stored on Google Cloud infrastructure. Specifically:

• Firebase Authentication manages sign-in and securely stores your password in hashed form — ECAMF staff and administrators never have access to your actual password.
• Cloud Firestore stores your account, application, and results data, protected by access-control rules that restrict each person's data to themselves and authorised administrators only.
• Cloud Storage stores uploaded result documents and photos, similarly access-restricted.

All data is encrypted in transit. While we take reasonable measures to protect your information, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

5. How We Share Information

We do not sell or rent your personal information. We may share information only in these limited circumstances:

• With ECAMF administrators and trustees, solely for the purpose of reviewing applications and managing beneficiary support
• With service providers (namely Google/Firebase) who process data on our behalf under their own security and privacy obligations
• If required by law, regulation, legal process, or governmental request
• To protect rights and safety — to protect the rights, property, or safety of ECAMF, our beneficiaries, or the public, as permitted by law

6. Data Retention

We retain your account and application information for as long as your account remains active, or as needed to fulfil the purposes described in this policy, unless a longer retention period is required by law. If you delete your account, your associated data is removed as described in Section 7 below.

7. Your Rights & Account Deletion

You have the right to:

• Access and review the personal information associated with your account
• Correct inaccurate information via your Profile screen in the App
• Delete your account and associated data at any time

How to delete your account

You can permanently delete your account directly within the App:

1. Open the App and sign in
2. Go to the Settings tab
3. Scroll to the Danger Zone section
4. Tap Delete My Account, confirm your password, and confirm deletion

This permanently removes your profile, submitted application, submitted results, and account credentials. This action cannot be undone. If you are unable to access the App, you may also request deletion by emailing us using the contact details in Section 12.

8. Children's Privacy

ECAMF supports students, some of whom may be minors. Where an applicant is a minor, we expect the account to be created and managed by a parent or guardian on the minor's behalf, who is responsible for the accuracy of information submitted and for reviewing this Privacy Policy. We do not knowingly collect personal information directly from young children without appropriate parental or guardian involvement. If you believe a child has provided us with personal information inappropriately, please contact us so we can address it.

9. Third-Party Services

The App relies on the following third-party service provider:

10. App Permissions

The App may request the following device permissions, used only for the stated purpose:

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to the App or our practices. We will update the "Last Updated" date at the top of this page when changes are made. Continued use of the App after changes take effect constitutes acceptance of the revised policy.
